Terms of Service

These Terms of Service (“Terms”) govern your access to and use of the SaaS provided by servepilot.best in Japan.

1. Definitions

  • “Service” means the SaaS and related features, including any conversational-analytics functionality provided through the platform.
  • “Customer” means the business entity or user that contracts for and uses the Service.
  • “Account” means the credentials and administrative space for Customer to access the Service.
  • “Customer Content” means data, documents, transcripts, and other materials that Customer submits or enables through the Service.

2. Who May Use; B2B Scope

The Service is intended for business use. By using the Service, you represent that you have authority to bind the Customer.

3. Subscription, Accounts, and Access

  • Customer must maintain accurate and complete account information and keep credentials secure.
  • Customer is responsible for all activities under its Account.
  • Subscription terms, fees, and renewal (including any minimum commitment, billing cycle, and payment schedule) are set out in the applicable order form or agreement.

4. Acceptable Use

  • Customer will not misuse the Service, attempt to gain unauthorized access, interfere with security, or disrupt availability.
  • Customer will not upload Customer Content that infringes rights or violates laws.
  • Customer will comply with applicable Japanese laws and regulations when using the Service.

5. Customer Content; Analytics/AI Outputs

  • Customer is responsible for obtaining any rights/consents and for providing appropriate notices to individuals whose data is included in Customer Content.
  • The Service may generate analytics, summaries, classifications, recommendations, or other outputs based on Customer Content.
  • No accuracy guarantee. Outputs may be incomplete, inaccurate, or unsuitable for particular purposes. Customer must review and validate outputs before relying on them.
  • No guaranteed outcomes. We do not guarantee that using the Service will improve business results, compliance outcomes, or performance metrics.

6. Privacy and Personal Information

If the Service handles personal information, we process it in accordance with our Privacy Policy and applicable law. For Japan, the handling and disclosure obligations are governed by the Act on the Protection of Personal Information (Act No. 57 of 2003), including specifying purposes, handling data within scope, and obtaining consent (or relying on statutory exceptions) where required, along with transparent disclosures. If we use cookies or identifiers that collect or process personal information (or personal-related information that becomes personal data), we provide the required disclosures and obtain legally required consent/controls under the Act on the Protection of Personal Information (Act No. 57 of 2003).

Additional transparency/fairness obligations may apply if we are designated as a “specified digital platform provider” under the Act on Improving Transparency and Fairness of Specific Digital Platforms (Jun 12, 2026).

7. Data Processing; Data Boundaries

We will use commercially reasonable measures to protect the Service and Customer Content. Unless otherwise agreed in writing, each party remains responsible for its own compliance obligations (including notices and consents where required).

8. Service Availability; Changes

  • We may modify, suspend, or discontinue features or the Service for maintenance, security, legal, or operational reasons.
  • We do not guarantee uninterrupted operation or error-free performance.

9. Limitation of Liability; Disclaimer

  • To the maximum extent permitted by applicable law, our liability for any damages arising out of or related to the Service will be limited as stated in the applicable agreement.
  • We are not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenue, data, or goodwill.
  • Except as expressly stated, the Service is provided “as is” and “as available.”

You agree to use the Service responsibly and to validate any outputs before making decisions based on them.

10. Indemnity (If Applicable)

Where set out in the applicable agreement, Customer will indemnify us against claims arising from Customer Content or Customer’s breach of these Terms. If not set out in the agreement, the parties’ responsibilities will be determined by applicable law and the parties’ written agreement.

11. Term and Termination

  • These Terms remain in effect during the subscription term and any renewal periods.
  • Either party may terminate according to the applicable agreement, including for material breach with notice and cure where required.
  • Upon termination, Customer’s right to access the Service may cease, and data retention/deletion will be handled as described in the agreement.

12. Governing Law

These Terms are governed by the laws of Japan. The parties agree to submit to the competent court in Japan for disputes arising from or relating to these Terms, unless the applicable agreement specifies otherwise.

13. Seller/Service Provider Indications (SCTA)

If the Service is provided as a distance transaction/service that falls under the Act on Specified Commercial Transactions (Act No. 57 of 1970), the following mandatory indications are provided so you can easily access them from this website:
